Hyundai Glovis: Making sense of supplier replies, wherever the answer appears
Turning fragmented emails, attachments, and partial replies into a traceable parts-survey workflow.
The work behind the project.
For a supply management team, sending the same parts request to several suppliers is only the start. Coxwave worked with Hyundai Glovis on the harder part: interpreting the replies, reconciling them with the tracking sheet, and knowing when a person needs to step in.
Replies arrived at different times and in different formats. Suppliers might fill only a few rows, answer from another address or email thread, or provide updates by phone or text. Staff had to keep comparing the original messages with the Excel tracking file.
Even within email, answers could appear in tables, attachments, images, or color changes inside an earlier message. The work required understanding the reply in context rather than extracting text from a single predictable location.
From knowledge to execution.
Real email exchanges and interviews with the team established the reply patterns and the decisions made during follow-up. These examples showed how staff recognized usable answers, partial responses, and exceptions.
- 01
Read replies in context
Interpret information in message bodies, tables, attachments, images, and earlier parts of an email conversation.
- 02
Reconcile the response
Match returned information to the requested parts data and the tracking sheet, accounting for incomplete replies and changes in format.
- 03
Make exceptions visible
The target workflow accumulates routine responses automatically and keeps progress and source information available, with staff involved where a decision is needed.
Clear boundaries. Informed decisions.
The intended workflow keeps progress and the source of each value visible to the team. Routine replies are collected automatically, while staff intervene in exceptions that require judgment.
Project scope and outcome.
The project was built around a clear operating goal: routine replies should accumulate in the tracking sheet, the team should be able to inspect progress and sources, and people should intervene when an exception requires judgment.
